Running link configurations
This process works through the configured document links. Each link describes what should happen to documents of a certain status – for example: "create a SAP document from every released invoice document."
When it runs
A timer of type U (also written LINKDOCS), set up under timers.
The timer works through the links in three passes, always in this order:
| Pass | Kind of link | What it does |
|---|---|---|
| 1 | create documents | creates SAP documents from the documents |
| 2 | link | attaches documents to existing SAP documents |
| 3 | hand over to PPSOne | hands documents over to PPSOne |
The order is no accident: the documents have to exist before anything can be linked to them.
Posting parked documents is a process of its own
Links of the kind "post parked documents" do not run in this timer but in one of its own, of type K – see posting parked documents. That is deliberate: posting changes the accounts and should happen at a time you choose yourself.
What happens
- All links of the kind being run are read. If none is configured, the log says so and the pass ends.
- For each link the start is logged – with key, description, kind and parameter. That is how you see in the log which link is working.
- The archive object is checked. If it is missing, this link is skipped and named in the log.
- The documents with the matching status are looked up. If there are none, that is in the log too – with the status that was searched for.
- Depending on the kind the documents are processed: documents created, linked, or handed over.
What steers it
| What | Where |
|---|---|
| Timer and schedule | timers |
| The links themselves | document links |
| How a document becomes a SAP document | document creation |
| Which status is searched for | document status |
| Watching a run | ECM monitor |
What can go wrong
"No link configuration defined"
No link of the kind currently running is configured. That is not a fault as long as you do not need that kind – the timer runs all three passes even if you use only one.
A link finds no documents
The log holds the link together with the status that was searched for. Check:
- Do the documents in the archive carry that status?
- Is the status entered correctly in the link?
- Have the documents been archived and indexed at all?
"Type … not yet defined"
The link carries a kind for which there is no processing. Usually a typo in the "type" field, or a link left over from an older setup.
A link is skipped
Then its archive object is missing. The log names the key and description of the link concerned; set the archive object in the link.
