Archiving the green basket

This process takes the confidently recognised documents out of the baskets of intelligent indexing and files them in the archive assigned to each basket. "Green" is the state the recognition gives a document when it is sure of its reading.

When it runs

A timer of type GREEN, set up under timers.

What happens

  1. Every basket marked for it is walked through. A basket only takes part when it is explicitly marked for this in the repository.
  2. The green documents are determined per basket.
  3. They are transferred into the archive assigned to that basket.
  4. The documents are moved, not copied – after the run they are gone from the basket and are in the archive.

Only green is touched

Documents the recognition rated yellow or red, and those it could not place at all, stay untouched in the basket. They want to be looked at – that is what the basket is for. The process only clears away what is unambiguous without anybody's help.

Green disappears from the basket

Because documents are moved and not copied, green documents are no longer in the basket after the run. Whoever expects to find something there looks in vain – it is in the archive. That is the intended state: only what still needs work should remain in the basket.

What can go wrong

A basket is not cleared

  1. Is it marked for this process in the repository? Without the mark it does not take part.
  2. Is a target archive assigned to it? Without a target there is nothing to do.
  3. Are the documents in it green at all? Yellow, red and unrecognised stay.

Documents stay yellow or red

That is not a fault of this process but the result of the recognition. They have to be looked at and confirmed in the basket; after that the next run takes them along.

A document is missing from the basket

If it was green, it is archived – see the note above. You find it in the archive through the usual search or on the linked SAP document.
